Plan campaign capacity around calls you can responsibly handle.
Estimate calling capacity, human handoff demand, and spend before scheduling an outbound campaign. Use the occupied time of real attempts and the limits of your whole workflow to make the plan concrete.
A capacity model with explicit assumptions and operating limits.
Know what moved forward.
Define the eligible demand
Start with the audience you may contact and the time windows in which the campaign should operate.
- Eligible contacts and suppression rules
- Calling windows and timezone coverage
- Retry limits and campaign objectives
Estimate occupied capacity
Measure ringing, conversation, voicemail, and other time occupying a call slot. Include the limits of connected systems and human teams.
- Available concurrent call slots
- Average occupied seconds per attempt
- Transfer demand and staffed capacity
Set the spend boundary
Model usage and fixed charges separately, then define the conditions that should slow or pause the campaign.
- Estimated billable usage and provider mix
- Number, plan, and support costs
- Spend, quality, and handoff thresholds
From a conversation
to a completed task.
Connect the steps that make the outcome possible.
- 01
Record the assumptions
Choose the audience, calling window, available slots, expected occupied time, pricing inputs, and staffed escalation capacity. Name the owner of each limit.
- 02
Calculate a planning ceiling
Concurrent slots multiplied by 60, divided by average occupied seconds, estimates attempts per minute at full slot utilisation. Treat this as a ceiling before pacing and other constraints.
- 03
Check against observed operation
Compare actual occupancy, useful conversations, transfer queues, opt-outs, and billed usage with the model. Adjust pacing and assumptions before increasing campaign volume.

Is the calculation a throughput guarantee?
No. It is a planning estimate. Connection patterns, carrier limits, pacing, provider capacity, customer behavior, and staffed handoffs change the throughput you can sustain.
Which call duration belongs in the model?
Use the time an attempt occupies capacity, including relevant non-conversation states. Model billable usage separately using the charging rules that apply to your service.
What should we review before increasing volume?
Check customer outcomes, opt-outs, transfer wait, unresolved exceptions, provider health, and actual spend. Available dial capacity alone does not establish that the complete service can handle more demand.
