Data Deletion Policy

Data Deletion Policy — Vagary Voice

Effective date: 2026-07-29 · Version: v2.0

Provider: Vagary Labs LLP (LLPIN ADA-4675), House No. 418 Ward No. 38, Chandni Takij Road, Satna, Kotwali, Raghurajnagar, Satna - 485001, Madhya Pradesh, India.

Applies to: vagaryvoice.cloud, portal.vagaryvoice.cloud, and the Vagary Voice product.

This policy explains how you, as a Data Principal under the Digital Personal Data Protection Act, 2023 (DPDP), can request deletion of your personal data, and what happens after you do. It supplements our Privacy Policy at vagaryvoice.cloud/privacy.

1. Your right to deletion

You may request erasure of your personal data at any time, whether or not you continue to use the service. This includes account details, voice recordings, transcripts, usage logs, and any other personal data we hold about you, subject to the retention exceptions in §5.

2. How to request deletion

Send a deletion request to [email protected] or to our Grievance Officer at Chinmay Ramraika — [email protected], from the email address associated with your account. State that you are requesting deletion under DPDP and, if you have one, your account ID.

You may also request deletion in-app via Account settings → Privacy → Delete my data, where available.

3. Identity verification

Before we act on a deletion request we verify that it comes from the data principal (or their nominee, per our Privacy Policy). We may ask you to confirm the request from your registered email and, where the request could affect another account or an active subscription, complete additional verification such as a one-time code sent to that email. This is to prevent a third party from deleting your data without your knowledge.

4. What we delete, and how long it takes

Once identity is verified, we erase or anonymise the requested personal data within 30 days. Voice recordings and transcripts tied to your account are removed from active systems immediately on verification and are purged from backups on their normal rotation (see §5).

5. What we retain, and why

Some data cannot be deleted immediately even after a verified request:

  • Billing and invoice records — retained as required by Indian tax and company law, even after account deletion.
  • Backups — your data may persist in encrypted backups until they are rotated out in the ordinary course (see our Privacy Policy's retention table for default periods); we do not restore deleted data from a backup except to recover from an incident.
  • Data under legal hold — retained where required by law, legal process, or an active dispute involving your account.

We will tell you, at the time we act on your request, which categories (if any) fall under this section and why.

6. Effect of deletion

Deleting your data deactivates your account and ends any active subscription; it is not reversible once processed. If you only want to stop future processing — for example, withdraw cookie consent — without deleting your account, use the Cookie settings control described in our Cookie Policy instead.

7. Grievance redressal

If you are not satisfied with how we handled your request, contact our Grievance Officer: Chinmay Ramraika — [email protected]. We will acknowledge and respond within the timeline required by law. If still unsatisfied, you may complain to the Data Protection Board of India.

8. Changes & contact

We may update this policy; the effective date and version will change. Questions: [email protected] / Grievance Officer Chinmay Ramraika — [email protected].
